This email correspondence is with the Secretary to the Board, on behalf of Robert Turner. The secretary has asked that her name be removed from this website. This has now been done, with “ Board Secretary” in place of the secretary’s name.

Tom:  I've left a message on your office phone but thought I would try email too.

Bob Turner would like to meet with you on Monday, June 5 in the afternoon on a Board of Governors matter.  He suggests 3:30 p.m. in the Board Room but could be available earlier.  Since he is planning to drive down from Calgary, I would appreciate knowing as soon as possible if you can meet with Bob.  Please let me know.  You could call me at home on the weekend if you'd like. xxxxxxx or cell xxxxxxx.

Thanks Tom.

Thanks Tom.  I've been told it's a governance matter and not a discussion of the grievances.  Hope that helps.  See you Monday.  Can I ply you with coffee & cookies in the meeting?

“Board Secretary,”

Regarding the purpose of the meeting, you say that it is not a discussion of the grievances. Can I assume that it is not about my conduct as a board member, since that is an issue of the grievances?

Hi Tom.  Can't answer that.  I know the meeting is just you and Bob. “Board Secretary”

“Board Secretary,”

Given the outcome of my earlier meeting with the Board Chair and Vice-Chair, you can understand that I need some questions answered before the meeting on Monday or at the beginning of the meeting, particularly when I am the only one invited and I have not been informed about the subject of the meeting.

(1) What is Bob's status in this meeting? Does he represent the Board or is this meeting simply one between fellow Board members?

(2) Is any one else aware of this meeting?

(3) Has anyone else been involved in any way in setting the agenda of this meeting?

Let me repeat a point that I made in earlier correspondence—I am happy to meet on Board matters at any time, but if the matter involves questions of my conduct, that is now the subject to a formal process and there are resolution mechanisms in that process that will deal with concerns about my conduct.

“Board Secretary,”

If the matter is about my conduct, then I will have a member of the Faculty Association accompany me.    I want to be as cooperative as I can be, but given how this matter has developed, I will need to follow the advice of the Faculty Association regarding representation. I am, however, most happy to meet without such representation on a purely Board matter.

Good morning Tom:

About today's meeting, Bob Turner's status is as chair of the Governance Committee of the Board of Governors.  He has also spoken with Bill, Terry & Guy and me.  As far as the "agenda" for the meeting, Terry would normally speak to you on the matter but in view of the other issue, felt more comfortable with the Chair of the Governance committee meeting with you.  Having said that, the meeting will not go into the grievance issue and will be limited to matters dealing with corporate governance.  As far as you bringing someone, if you would like to have another Board member with you, that would be perfectly acceptable.  This is a Board governance matter, not an academic or employment matter, so it would be unacceptable to have a non-Board member present.  The Board members at the meeting are wearing their Board "hat".
